Everything You Need to Know About Sourcing

What does the sourcing process look like? +

Sourcing a timepiece through a broker gives you direct access to global dealer networks, trade pricing, and professional authentication safeguards without the hassle of searching yourself.

Here is how the standard step-by-step process works:

  1. Consultation & Brief: You define the reference number, condition, scope of delivery (box & papers), target era/year, target budget, and desired timeframe.
  2. Agreement & Deposit: We'll present a sourcing agreement document that outlines all the terms of the engagement. Once executed, an initial deposit (typically 10%–20% or a flat fee) is placed to secure your request and hold your intent.
  3. Global Sourcing: We tap into our global dealer networks, wholesale platforms, and private collector channels beyond public marketplace listings.
  4. Presentation & Approval: You receive verified candidate options complete with high-resolution photos/videos, condition reports, scope details, and total landed pricing.
  5. Authentication & Inspection: The timepiece undergoes visual checks, mechanical testing on a timegrapher, and serial number verification against stolen-watch databases.
  6. Final Payment & Secure Delivery: Once approved, you settle the remaining balance and receive your watch via fully insured, overnight courier backed by an authenticity guarantee.
Are sourcing deposits refundable? +

In the secondary watch market, sourcing deposits are conditionally refundable based on whether agreed obligations are met:

When a Deposit IS Refundable (100% Guaranteed):

  • Inability to Source: The exact watch cannot be located within your agreed timeframe.
  • Condition & Authentication Failure: The watch fails physical inspection, reveals undisclosed damage, or fails movement/authenticity testing.
  • Unagreed Price Increase: The final landed price exceeds your agreed-upon target budget and you choose not to proceed.

When a Deposit IS NOT Refundable:

  • Buyer’s Remorse / Change of Mind: You decide not to purchase after the broker locates the exact watch requested.
  • Failure to Pay Balance: You fail to wire the remaining balance within the agreed timeframe after approving the watch.

(Why this policy exists: Securing a watch often requires the broker to commit capital, reserve inventory, or place binding wholesale orders on your behalf.)

Is there a fee if you can't find the watch? +

No, never. If we're unable to source the timepiece in the agreed-upon condition, in the agreed-upon timeframe, or in the agreed-upon price range, you'll get a 100% refund of your deposit.

However, if you cancel after the watch is located and you approve it, the deposit is non-refundable.

How long does sourcing typically take? +

Sourcing timelines depend on the rarity and specifications of the piece you are after. For popular modern luxury references, we often locate qualified options within 1 week. For rare vintage or highly allocated timepieces, it can take longer to identify a verified piece that meets our condition and provenance standards.

How do you verify authenticity? +

Every timepiece sourced through Art House Horology undergoes a comprehensive multi-point inspection by expert horologists. We physically inspect the movement, case, serial numbers, dial, hands, and accompanying paperwork/box to guarantee 100% authenticity before final delivery to you. If there is ever a question or concern regarding authenticity, we would be happy to have the timepiece independently authenticated by an independent third-party expert for an additional fee.
